Opening

State the role and give one reason you are worth reading past the first line. For IT applications the strongest opening names something specific from the posting, because it immediately separates you from the candidates who applied to everything.

Fit summary

Connect your experience to the job's core needs in the job's own words. This is where the terms from the posting belong, used inside real sentences rather than listed. A support posting emphasising SLAs and a platform posting emphasising uptime want different sentences here.

Achievement highlight

One relevant win with enough context to be believable: what the constraint was, what you did, what changed. In technical applications the constraint is what makes the number credible, so do not drop it to save a line.

Keyword match

Fold the role's own vocabulary in where it genuinely applies. Pasting requirement text back at the employer is obvious and does the opposite of what it intends; using the same words for work you actually did is what the screen is looking for.

Step 1

Set the tone from the posting, not from habit

A general IT application can stay professional and direct. A role weighted toward product, customer support, or delivery usually reads better with a warmer, more specific voice, because the job itself is relational. The posting tells you which one you are looking at: count how often it talks about users and stakeholders versus systems and uptime.

Swap the achievement, keep the structure

This is the part that makes one template work for many roles. Pick the example that matches the posting's biggest priority rather than your most impressive one. If it emphasises collaboration, choose the story that shows teamwork even when a solo project was technically harder; if it emphasises execution, lead with the result.

Step 3

Fold in the posting's language

Use the job description as the source for terminology, then work those terms into your own sentences where they are true. That keeps the letter relevant to a keyword screen without it sounding assembled, and it stops you describing the same skill in vocabulary the employer does not use.

Step 4

Cut to one page, then check the export

Between 250 and 400 words is the range that gets read. Once the letter is final, export it in the format the portal asks for and confirm it opens cleanly. A letter that arrives as an unreadable attachment fails for reasons that have nothing to do with what it says.

A paragraph listing tools is resume content in sentence form. The reader already has that list, and using the letter to repeat it signals you had nothing further to say.

Using one letter across support and engineering roles

The structure carries across; the emphasis does not. A support manager is reading for ticket ownership and how you explain things to non-technical users. An engineering manager is reading for trade-offs and scale. The same achievement often works for both, but it needs a different sentence around it.
